1 About These Terms

These terms and conditions ("booking conditions") form the basis of your contract with Waggie Group Pty Ltd, trading as Cooee Tours (ABN 12 345 678 901) ("Cooee Tours", "we", "us", or "our"). By making a booking with us, you confirm that you have read, understood, and agreed to these conditions.

Cooee Tours is a Brisbane-based tour operator offering day tours, multi-day touring holidays, private charters, group transport, and accessible travel services. Our services operate primarily across Queensland and New South Wales, with select tours to other Australian destinations and New Zealand.

These terms apply to all bookings made directly with Cooee Tours or through our booking platform at cooeetours.rezdy.com. If you book through a travel agent or third-party platform, that agent's or platform's terms may also apply.

The four service types covered by these terms

Day Tours

Brisbane-departing single-day tours — wine, food, scenic, cultural. Full payment at booking.

Multi-Day Holidays

Touring holidays across Queensland, Australia & New Zealand. Deposit secures, balance 60 days prior.

Private Charters

Custom private group transport — weddings, corporate, school groups. Custom charter agreement.

Group Transport

Coach hire for events, conferences, sports clubs. Final numbers required 14 days prior.

2 Booking & Payment

How to book

Bookings can be made online through our Rezdy booking platform, by phone on +61 409 661 342, or by email at contact@brisbanehirebus.com.au. A booking is confirmed once we issue a confirmation email or invoice and payment has been received in accordance with these conditions.

Age requirement

You must be at least 18 years of age to make a booking. By submitting a booking, you confirm that you are 18 or over and have authority to bind any other passengers in your booking to these terms.

Day tours

Full payment is required at the time of booking for all day tours. Your booking is not confirmed until payment has been received and a confirmation email has been issued.

Multi-day tours

A deposit is required at the time of booking for multi-day tours. The deposit amount will be stated on the tour listing or advised at the time of booking. The balance is due no later than the date specified on your invoice (typically 60 days before departure). If the balance is not paid by the due date, Cooee Tours reserves the right to cancel the booking and retain the deposit.

Private charters & group bookings

A deposit is required to secure private charter and group bookings. Terms, deposit amounts, and payment schedules are outlined in your charter agreement or quote. Final passenger numbers and any dietary or accessibility requirements are typically required 14 days before the event.

Payment methods

We accept Visa, Mastercard, debit card, direct bank transfer, and payment through our online booking platform. A credit card surcharge of up to 2% may apply and will be disclosed at the time of payment.

3 Pricing

All prices are in Australian Dollars (AUD) and include GST unless otherwise stated. Prices are as listed at the time of booking. Tour prices include the services specified in the tour description — items not listed as included are excluded.

Cooee Tours reserves the right to adjust pricing on tours not yet paid in full due to significant increases in operating costs, government taxes, or fuel surcharges. If a price increase exceeds 10% of the original quoted price, you may cancel and receive a full refund of monies paid.

4 Cancellation Policy

All cancellation requests must be made in writing to contact@brisbanehirebus.com.au. Cancellations take effect from the date the written notice is received by Cooee Tours.

No refund is provided for unused services, late arrivals, or early departures once a tour has commenced. Private charter and group bookings may have separate cancellation terms as outlined in the charter agreement.

Cancellation by Cooee Tours

Cooee Tours reserves the right to cancel a tour if minimum numbers are not met, or for safety or operational reasons. In this case, you'll receive a full refund of all monies paid, or the option to transfer to an alternative date or tour of equal value. We are not liable for additional costs you may have incurred (e.g., accommodation or transport to pick-up points) in connection with a tour we cancel.

5 Changes to Your Booking

Requests to change your booking (e.g., transfer to a different departure date or tour) must be made in writing as soon as possible. Changes are subject to availability. An administration fee may apply for changes within 14 days of departure. Any price difference between the original and new booking will be charged or refunded accordingly.

6 Changes by Cooee Tours

We plan all tours carefully, but occasionally changes are necessary due to operational requirements, road conditions, weather, or other factors. We reserve the right to alter tour itineraries, pick-up times, vehicles, guides, or other tour details and will notify you of significant changes as soon as practicable. Minor changes (slight timing adjustments, equivalent venue substitutions) do not entitle you to a refund or cancellation.

7 Travel Insurance

Travel insurance is not included in any Cooee Tours booking. We strongly recommend you purchase comprehensive travel insurance, particularly for multi-day tours, covering trip cancellation, medical expenses, personal liability, and loss of luggage. Cooee Tours is not an insurance provider — we recommend comparing policies from licensed Australian insurers.

💡 Recommendation: For multi-day Queensland or interstate tours, travel insurance protects you against the cancellation fees in Section 4 if illness, injury, or other covered events prevent you from travelling.

8 Health, Mobility & Fitness

Most Cooee Tours are suitable for guests of all fitness levels. However, some tours involve walking, standing, or boarding/alighting coaches, and a reasonable level of mobility may be required. It is your responsibility to advise us of any pre-existing medical conditions, mobility limitations, dietary requirements, or other health concerns at the time of booking so we can assess suitability and make reasonable adjustments.

Important: If you fail to disclose a relevant condition and are unable to participate in all or part of the tour as a result, no refund will be provided for unused services.

9 Passengers With Disabilities

Cooee Tours is committed to accessible travel. Many of our coaches are equipped with wheelchair ramps or lifts, and our team is trained to assist guests with disabilities and mobility needs. Please advise us of accessibility requirements at the time of booking so we can allocate an appropriate vehicle. Visit our Accessibility page for full details. While we make every reasonable effort to accommodate guests with disabilities, we cannot guarantee accessibility at all third-party venues visited during tours.

10 Travelling With Children

Children under 18 must be accompanied by a parent or legal guardian on all tours. The accompanying adult is responsible for the child's behaviour and supervision at all times. Some tours may not be suitable for very young children — please check the tour description or contact us before booking. Wine tours and tours with included alcohol service are restricted to passengers aged 18 and over.

11 Passenger Conduct

Cooee Tours reserves the right to refuse boarding or remove any passenger from a tour whose behaviour is disruptive, offensive, dangerous, or threatening to themselves, other guests, or our staff. This includes intoxication, verbal or physical abuse, harassment, and refusing reasonable directions from our drivers or guides. If you are removed from a tour due to unacceptable conduct, no refund will be provided and you will be responsible for any costs of returning to your origin.

12 Responsible Service of Alcohol

Where alcohol is served on tours (e.g., wine tours, tours with included meals), our staff are trained in the Responsible Service of Alcohol (RSA) and are required by law to refuse service to any person who appears intoxicated or who behaves aggressively or offensively. RSA-trained drivers may also limit alcohol consumption on board our coaches for passenger safety.

13 Luggage

Day tours: Please bring only what you need for the day — a small bag or backpack is recommended. Large luggage cannot be accommodated.

Multi-day tours: Each guest is permitted one suitcase (maximum 20 kg) and one piece of hand luggage. Specific limits may vary — check your tour confirmation. Cooee Tours is not responsible for loss of or damage to personal belongings. We recommend not bringing valuables and ensuring your travel insurance covers personal effects.

14 Itinerary Changes

Published itineraries are a guide and may be altered without notice due to road conditions, weather, traffic, venue closures, or other factors. Cooee Tours will endeavour to provide an equivalent experience if changes are necessary. Pick-up and drop-off times are approximate — please allow flexibility if you have onward travel connections.

15 Force Majeure

"Force majeure" means any event beyond our reasonable control that could not have been prevented, including: natural disasters, pandemic or epidemic, war, terrorism, civil unrest, industrial action, government travel restrictions, road closures, or significant mechanical breakdown. If a tour is cancelled or significantly altered due to a force majeure event, Cooee Tours will offer a credit for a future tour or a refund less any unrecoverable third-party costs already incurred. We are not liable for any additional costs, losses, or damages arising from force majeure events.

16 Limitation of Liability

Cooee Tours uses independent suppliers (including venues, attractions, restaurants, and accommodation providers) who are not employees or agents of Cooee Tours. While we take care in selecting suppliers, we are not responsible for their acts, omissions, or the quality of their services beyond what is required by Australian Consumer Law.

To the fullest extent permitted by law, our liability for any claim arising from a tour is limited to the tour price paid by you. This limitation does not apply to liability for death or personal injury caused by our negligence. Nothing in these terms excludes or limits any consumer guarantee or right under the Australian Consumer Law (Competition and Consumer Act 2010, Schedule 2) that cannot be excluded by agreement. We are not liable for indirect or consequential loss, including loss of enjoyment, loss of opportunity, or additional travel costs.

17 Privacy & Data

Personal information collected during the booking process is used to provide tour services, communicate with you about your booking, and meet legal obligations. We may share your information with third-party suppliers where necessary to deliver your tour. We will not share your information for marketing purposes without your consent. 18 Complaints

If you experience a problem during your tour, please raise it immediately with your guide or driver so we can attempt to resolve it on the spot. If you remain dissatisfied, please submit a written complaint to contact@brisbanehirebus.com.au within 30 days of your tour. We will acknowledge your complaint within 7 business days and aim to resolve it within 30 days.

If your complaint is not resolved to your satisfaction, you may also escalate it to AFTA (Australian Federation of Travel Agents) or the ATAS (AFTA Travel Accreditation Scheme) dispute-resolution body, or to the Queensland Office of Fair Trading.

19 Governing Law

These terms and conditions are governed by the laws of the State of Queensland, Australia. Any dispute arising from or in connection with these terms is subject to the exclusive jurisdiction of the courts of Queensland.

ATAS
AFTA Travel Accreditation Scheme — Australia's national accreditation for travel businesses, run by AFTA.
Australian Consumer Law (ACL)
Schedule 2 of the Competition and Consumer Act 2010 — your statutory consumer guarantees that can never be contracted out of.
Force majeure
An unforeseeable event beyond reasonable control (natural disaster, pandemic, war) that prevents tour delivery.
Consequential loss
Indirect losses arising from a primary loss — e.g. missed connecting flights, lost work hours, lost enjoyment.
Deposit
Initial payment that secures your booking — usually non-refundable but applied to the final tour price.
RSA
Responsible Service of Alcohol — the legal certification all our wine-tour staff hold under Queensland liquor laws.
No-show
Failing to arrive at the scheduled pick-up location at the scheduled time without prior cancellation notice.
Independent supplier
A third-party venue, restaurant, or accommodation provider used during a tour but not employed by Cooee Tours.

Booking Terms FAQs

Quick answers to the most common questions about Cooee Tours' booking conditions:

Our standard cancellation fees in Section 4 still apply for illness-related cancellations. This is exactly why we strongly recommend comprehensive travel insurance — most Australian travel insurance policies cover cancellation due to illness or injury and will reimburse the cancellation fees we retain.

In most cases yes — name changes on a booking are usually free if requested at least 7 days before departure. Email contact@brisbanehirebus.com.au with the new passenger's details. Some multi-day tours with name-locked accommodation may charge a small admin fee.

Tours operate in most weather conditions. We may modify itineraries (e.g. swap an outdoor venue for an indoor one) without entitling you to a refund. If weather is severe enough that we cancel the tour entirely for safety reasons, you'll receive a full refund or transfer to another date — see Section 6 and Section 15.

Tipping is not customary in Australia and gratuities are never expected. Our drivers and guides are properly paid award rates. If you wish to leave a tip for exceptional service, it's appreciated but entirely voluntary.

Yes — our terms apply to all Cooee Tours bookings. However, your travel agent or third-party booking platform may have additional terms (different cancellation fees, payment schedules) that apply alongside ours. Read both sets carefully.

As an ATAS-accredited business, we operate under industry consumer-protection standards. We strongly recommend travel insurance for multi-day tours, which typically includes supplier-insolvency protection. Credit-card payments may also be reversible under chargeback rules in some circumstances.
